Initial Engagement

The focus of the first engagement with a new client is on streamlining the business operation of the practice- systems, staff, and finances.

Initial Engagement fee includes remote pre-visit preparation and two non-patient days in your practice for systems set-up and staff training.

1. Pre-visit Preparation

Advance preparation ensures the success of the two-day onsite consultation. I summarize information provided by the practice to quantify current performance in relation to industry standard benchmarks.

Together we plan the two-day consultation to address the priorities of the practice.

2. Two-day on-site systems setup and training

These are non-patient days and involve the entire practice- staff and doctors. The following systems are typically addressed, depending on the priorities of the practice.

  • Business operations -Business and treatment statistics, vital reports, tracking numbers, using reports to achieve practice goals, effective office meetings, streamlined systems and procedures, use of credit reports, reducing delinquencies, managing collections.
  • Managing patient flow – Move patients in and out of treatment in a timely manner, keep patient status database up to date.
  • Staff development – Refine job descriptions, realistic performance standards, cross-training and position-specific skills training, task and systems organization into efficient routines.

Custom Data Analysis and Reporting

Stay on track to achieve your goals and spot early warning signs. Remote data analysis and reporting service makes management oversight simple and routine.

Fee based on hourly rate.

Monthly, quarterly, or as needed service gives you clear analysis of practice data. This critical management tool allows practice to measure progress and stay on track to achieve its goals. Staff is trained in use of reporting data for lasting value to the practice. This service is very cost-effective for the practice because it is provided remotely, no travel involved.

Scheduling coordinator

Managing the scheduling system, coordinating front and back offices, handling no-shows, telephone procedures and protocols, superior customer service, managing patient retention system, prioritizing calls and callbacks.

Clinical coordinator

Implement or refine doctor time scheduling, learn procedure codes and timing, how to build a model day, retention recall system, manage patient flow, maintain training program for clinical staff, efficient management of the operatory and lab, appliance fabrication quality control.
