The focus of the first engagement with a new client is on streamlining the business operation of the practice- systems, staff, and finances. It includes pre-visit preparation and two days of consulting and training onsite.

Pre-visit preparation

Advance preparation ensures the success of the two-day onsite consultation. I summarize information provided by the practice to quantify current performance in relation to industry standard benchmarks.

Together we plan the two-day consultation to address the priorities of the practice. Prior to the visit, I review the following information with pertinent practice personnel:

• Short practice questionnaire
• Specified accounting reports
• Patient statistics
• Samples of communication materials and forms

Two days on-site consulting and training

These are non-patient days and involve the entire practice- staff and doctors. The following topics are typically addressed; the amount of time spent on each depends on the priorities of the practice.

Staff development and doctor time scheduling
Refine job descriptions, realistic performance standards, cross-training and position-specific skills training, task and systems organization, implement doctor time scheduling.

Business operations
Business and treatment statistics, vital reports, tracking numbers, using reports to achieve practice goals, effective office meetings, streamlined systems and procedures, use of credit reports, reducing delinquencies, managing collections.
